1. Bookings and Payments:
1.1 Booking Confirmation
All bookings are subject to availability of both the rental items and the delivery date.
The appropriate deposit.
A minimum non-refundable deposit of 25% is required to secure your reservation. The deposit amount is noted on your invoice. For orders above $2000, a 50% deposit is required.
If an item is damaged or unavailable prior to delivery, we will replace it with the closest type of prop available.
1.2 Payment Methods
Credit Card Authorization
Any additional fees incurred during the rental period.
The credit card authorization is performed as a security measure to ensure that funds are available for the rental and to protect the Company from potential financial loss. A picture ID and a credit card with a matching name are required at the time of pickup or delivery and will be kept on file for the duration of the rental period.
We accept Visa, MasterCard, Amex, and E-Transfer. All payments must be made through approved payment methods.
The final balance is due 3-5 business days before your event unless otherwise stated on the invoice. Failure to do so may result in the cancellation of the booking.
1.3 Pricing
Prices are subject to change without notice due to market conditions and operational costs.
Any changes to an order will be charged at current rates.
2. Cancellations and Changes:
2.1 Cancellations
The deposit is non-refundable under all circumstances; including cancellations by the client.
Any cancellations or rescheduling requests that are made within 48 hours of the event will be subject to additional service charges or fees.
In the case of government restrictions or extreme weather conditions, the deposit may be applied toward a future booking.
In the event that we need to cancel your booking due to extreme weather, damage to rental equipment, or other unforeseen circumstances, we will notify you immediately. You will receive a full refund, except for the deposit, which can be used as store credit or transferred to another date.
Changes are subject to availability.
If an item is damaged or unavailable prior to delivery, we will replace it with the closest type of prop available.
No changes can be made within 48 hours of the event.
A $50 late booking fee applies to changes made within 48 hours.
3. Delivery, Setup, and Pickup:
Deliveries and pickups occur at the times specified on your invoice. Any changes to delivery times or locations will be considered an additional charge.
Delivery fees are based on location and distance from our warehouse in Montreal.
Delivery service is a door-to-door service. Additional charges may apply for setup, floor plan coordination, or special delivery requirements.
If we are unable to set up due to incorrect address, refusal by the venue, lack of service elevators, or unsafe conditions, no refund will be issued.
The Client agrees to provide safe access for our delivery and setup crew. We are not responsible for damages resulting from unsafe conditions, including, but not limited to, unsafe roads or venue restrictions.
If no one is on-site, a floor plan must be provided.
Ensure that the venue is ready and accessible at the agreed-upon time. Any delays due to venue unpreparedness or restricted access will result in an additional $50 per 30 minutes fee.
Late returns of rental equipment will incur a 25% late fee of the order total for the first 4 days. After 4 days, the item will be considered lost or stolen and charged the full replacement cost.
Late pick-ups or deliveries outside of normal operating hours may incur an additional fee.
4. Liabilities and Responsibilities:
The Client must promptly inform the Company of any change in address, payment information or telephone number while the equipment is in their possession.
Upon delivery or pickup, the Renter must inspect all rental items. Any damages must be noted immediately—either before the items leave the Company’s facility or in the presence of Company staff during delivery/setup.
The Client is responsible for the proper use and maintenance of all rental items. Any damage or loss to equipment while in your possession will result in a charge for repairs or replacement as detailed on your rental contract.
All rental items must be returned clean and free of food, debris, and stains. Excessive cleaning required will be charged to the Client.
The Client must ensure that all equipment is safely secured during and after delivery.
Props must remain in their designated setup locations.
The Client agrees to use the rental items only for their intended purposes and in a safe manner. Misuse or negligent handling of the items will result in additional charges for repairs or replacements.
The client is responsible for repair or replacement costs of damaged or lost items.
Any damage must be reported immediately.
Luxury Star Rentals is not liable for any damages, injuries, or accidents to persons, animals, or property arising from the use of our rental items.
The client agrees to defend the company against any claims, liabilities, or damages resulting from the use of rental equipment.
We do not operate in a nut-free or latex-free environment, and we are not
responsible for any allergic reactions caused by our equipment or products.
We do not provide insurance for the rented items. The Client is responsible for insuring the rented equipment during the rental period.
5. Weather Concerns and Force Majeure:
Due to extreme weather alerts or unsafe roads, we reserve the right to cancel orders with no notice.
The balance will be refunded, but the deposit will be retained for future bookings.
Neither party will be held liable for unforeseen circumstances beyond control, including but not limited to weather, natural disasters, government restrictions, or transportation failures.
6. Additional Fees and Charges: 6.1 Extra Charges
$50 per 30-minute delay for setup or pickup.
Custom delivery times or special requests may incur extra fees.
7. Privacy and Publication:
We do not share your personal information, except as required for booking purposes or by law.
Emails may be used for promotional offers from our company.
By renting from Luxury Star Rentals, you grant us permission to use any photographs, videos, or other media of your event that includes our rental items. These may be used for promotional purposes, including, but not limited to, social media, blogs, and advertising.
Opt-Out Option: If you do not wish for us to use your photos, please send an email to [info@etoileluxe.ca] requesting that your media not be shared.
By submitting your deposit and finalizing your booking, you acknowledge that you have read, understood, and agree to these terms and conditions. This contract is binding upon receipt of your deposit and reservation confirmation.
Any disputes will be resolved through binding arbitration.
